If you have a dental emergency, please contact us to help you! We have emergency assessment slots reserved every day of the week and are happy to see both registered and non-registered patients to assess the problem area and plan treatment as required. We are open on Saturdays too for anyone too busy during the working week. Emergency Appointments Dental emergencies can happen at any time, our skilled and dedicated dentists are ready to help. We have emergency appointments available and we will try to accommodate you as soon as we can to get you assessed by one of our dentists. At your emergency appointment the dentist will carefully assess the area that is causing the problem and form a bespoke treatment plan. Please note this is an assessment appointment, if treatment is indicated then this may be carried out on the day, however in some circumstances a subsequent appointment may be required. If any treatment is carried out on the day additional fees may apply and your assessing dentist will discuss this with you before any treatment is carried out. Book Now Chipped or Broken Tooth For chipped, damaged, or knocked out teeth and displaced crowns: Rinse your mouth with warm water to help relieve the pain. You can use a cold compress to reduce any swelling. Toothache A toothache can usually be a sign of dental infection. Gently clean and floss your teeth to remove any food that might cause infection and rinse with warm water. take painkillers, like ibuprofen or paracetamol (children under 16 should not take aspirin) try rinsing your mouth with salt water (children should not try this) use a pain-relieving gel for your mouth – this can be bought from pharmacies or supermarkets eat soft foods, like yoghurt or scrambled eggs, and try to avoid chewing with the sore tooth Wisdom Tooth Pain Impacted wisdom teeth don't always cause symptoms. However, when an impacted wisdom tooth becomes infected, damages other teeth or causes other dental problems, you may experience some of these signs or symptoms: Red or swollen gums Tender or bleeding gums Jaw pain Bad breath An unpleasant taste in your mouth Difficulty opening your mouth Implant Emergencies If you have an emergency with your implant we can schedule an appointment with our implant specialist. you may have difficulty chewing implant has come loose infection swelling pain or discomfort Abssess/ Infections Signs of a dental abscess include: intense toothache or pain in your gums redness inside the mouth, or outside the mouth on the face or jaw sensitivity to hot or cold food and drink in the affected area a bad taste in your mouth difficulty opening your mouth and chewing food a swollen face or jaw a high temperature Lost Filling/Crown A lost filling or crown can be painful because the exposed tooth tissue is often sensitive to temperature, pressure or air. To keep you fully informed of our policies please note the following: All patients must have a full new patient examination first, following which they will be able to sign up to a membership plan There is a once only £10 administration joining fee which will be taken at your first monthly collection Your monthly payments will be taken on or around the 10th of each month by our administrators Privilege Plan Ltd and their name will appear on your bank statement Your benefits will commence six months following your first monthly payment and your next routine appointment will be included as one of your plan entitlements You will not be asked to sign a contract and you may leave the plan at any time by contacting your bank or building society or directly with Privilege Plan Ltd on 01536 771219 If your Direct Debit payments fail three times consecutively, we may cancel your membership Patients are responsible for making and attending appointments provided by the plan Entitlements not used in any given period may not be carried forward or refunded Your membership is continuous and does not require renewing each year Should you fail to attend an appointment a fee may be chargeable at your next appointment In the unlikely event of you cancelling your plan you may be required to pay for your last appointment, and we reserve the right to recover any discounts applied to treatment completed in the previous six-month period Your personal details will remain safe and in accordance with Data Protection.

There are times when you may need to reschedule an appointment with us for good reason. We have a cancellation policy in place to reduce last-minute cancellation of appointments. Cancellation Policy Practice Policy for Collecting Fees Scope This policy relates to all fees and charges payable by any patient who uses the services of this practice. This includes money owed for check-ups, examinations, preventive advice, treatment with the hygienist and all treatment provided by a dentist. All treatment is on a private basis The practice will at all times seek to be sympathetic to and understanding of each patient’s financial circumstances. Action to enforce settlement of debt for outstanding fees and charges will be taken in respect of all current and former patients who have failed to pay any outstanding charges. Fees All fees for treatment provided should ideally be paid before leaving the practice. If the patient has an outstanding amount owing to the practice at the time of their next appointment, the practice may request that the account is settled before they can receive further treatment at the practice. If the patient does not settle their account, the practice may refuse treatment until all outstanding amounts are paid. Missed Appointments If a private patient fails to attend an appointment or cancels without reasonable notice, the practice may ask the patient to pay a deposit on all further appointments. Following the patients first missed appointment; the patient will then have to pay a deposit prior to booking every subsequent appointment. This is will calculated as £1 a minute, and a minimum of £30. If the patient fails to attend for a routine check-up or hygiene appointment and is a ‘Privilege Plan’ patient they will lose these benefits from their plan. This information is included in our practice information leaflet. Debt Collection All outstanding debts will be pursued. Patients will be sent written notification that their debt remains outstanding and given every opportunity to pay the fees due. Only as a last resort, this practice will pursue patients for debts owing by using a debt-collecting agency. To ensure that this practice does not breach its duty of confidentiality, we will only disclose lists of debtors to debt collection agencies in order to recover our debts and will not disclose this information to any other third party. Payment methods This practice accepts all major debit and credit cards excluding American Express. We do not accept cash/cheques. This policy and relevant procedures will be reviewed annually and are due for review on: 04/12/2024 or prior to this date in accordance with new guidance or legislative changes.

Privacy Policy Privacy Policy for Sapphire Dental for Patient Data Sapphire Dental takes great care to protect the personal data we hold for our patients in line with the requirements of the General Data Protection Regulation (GDPR) and the Data Protection Act 2018. The purpose of collecting and storing personal data about our patients is to ensure we can: Provide, appropriate, safe and effective dental care, treatment and advice for all our patients. Fulfil any contracts we hold in relation to their care. For business administration of their care During the COVID-19 pandemic, we may also collect and store personal data about our patients for the purposes of protecting public health and monitoring and managing the COVID-19 pandemic. Personal data held for our patients The personal data we process (processing includes obtaining the information, using it, storing it, securing it, disclosing it, and destroying it) for our patients includes: Name, address, date of birth. Unique identification number. Next of kin. Email address. Phone numbers. GP contact details. Occupation. Medical history. Dental care records. Photographs. Family group. Payment plan details. Financial information. Credit cards receipts. Correspondence. Details of any complaints received. We keep an inventory of personal data we hold on our patients and this is available for patients on request. A list of personal information held is also included in our Privacy Notice that is given to all patients. Disclosure to third parties The information we collect, and store will not be disclosed to anyone who does not need to see it. We will share our patients’ personal information with third parties when required by law or to enable us to deliver a service to them or where we have another legitimate reason for doing so. Third parties we may share patients’ personal information with may include: Regulatory authorities such as the General Dental Council or the Care Quality Commission NHS Local Authorities Dental payment plan administrators Insurance companies Loss assessors Fraud prevention agencies In the event of a possible sale of the practice at some time in the future. We may also share personal information where we consider it to be in a patient’s best interest or if we have reason to believe an individual may be at risk of harm or abuse. Personal privacy rights Under the GDPR and the Data Protection Act 2018, all individuals who have personal information held about them have the following personal privacy rights: Right to subject access. Right to have inaccuracies deleted. Right to have information erased. Right to object to direct marketing. Right to restrict the processing of their information, including automated decision-making. Right to data portability. Patients who wish to have inaccuracies deleted or to have information erased must speak to the dentist who provided or provides their care. Legal basis for processing data held about patients The GDPR requires us to state the legal basis upon which we process all personal data for our patients and it requires us to inform our patients of the legal basis on which we process their personal data. This is clearly stated in our privacy notice that is given to all patients. The legal bases for recording individual types of data are recorded in our patient personal data inventory. This is available for all patients to see on request. The legal basis on which we process personal information for our private patients is that it is necessary to provide the services set out in a contract − that is, to provide you and your dependants with our products and services and/or it is required or allowed by law. In addition, the legal basis on which we process personal information for our payment plan patients it is in our or a third party’s legitimate interests (Privilege Plan). Automated decision making All individuals who have personal data held about them have a right to object to their personal data being subjected to automated decision making. Patients will always be asked to give specific, informed, verifiable, opt in consent for any processes involving automated decision making. Consent Sapphire Dental will always obtain specific, opt in consent from our patients for direct marketing information. This is done via the Clinipad via an electronic contact consent form. We will also obtain specific, opt in consent from our patients for certain dental treatments, photographs, and publication of testimonials. For a new patient,we obtain consent for these things when the patient first attends the practice. For an existing patient, we ask the patient for consent when they attend for their recall appointment or for a treatment appointment. We refresh this consent annually when the patient completes a new medical history proforma. Withdrawal of consent Patients who have given their opt in consent have a right to withdraw their consent at any time. Patients are advised of their right to withdraw their consent for anything they wish to withdraw from in our privacy notice. Consent during the COVID-19 pandemic The rules on processing and sharing information during the COVID-19 pandemic have been relaxed to allow healthcare providers to protect public health and manage the spread of the virus. Sapphire Dental may need to contact our patients, their families or third-party organisations regarding patients’ appointments, medical histories, and treatment. Where possible, we will obtain prior consent to process and share this information. Where patients have not previously consented to, or have withdrawn their consent for us to contact or share or process their data, we will assess whether the need for processing is proportionate and necessary in relation to the risk to the individual and/or the public if the information is not shared. Retention period This practice retains dental records and orthodontic study models while the patient is a patient of the practice and, after they cease to be a patient, for at least eleven years, or for children until age 25, whichever is the longer. Complaints All individuals who have personal data held about them have a right to complain. All complaints concerning personal data should be made in person or in writing to Manoj Tank. All complaints will be dealt with in line with the practice complaints policy and procedures. Transferring personal data outside the EU Patients’ personal data is not transferred outside the EU. This Policy was reviewed and implemented on: 26/12/2020. Hello I'm Dr Kavita Malkan Associate Dentist Dentist with an interest in Invisalign Orthodontics BDS (London) GDC No. 193448 I certified as a dentist 12 years ago at Kings College London and have since practiced within the NHS and Private sectors. In 2016 I joined Align Technology (the manufacturer of the Invisalign clear aligner system) and became the UKs Clinical Manager soon after. Through my years at Align, I have developed extensive product knowledge, helping dentists through thousands of Invisalign cases. I currently lecture and train dentists in their Invisalign education and am very excited to be able to bring this experience to Sapphire Dental, to help produce beautiful smiles for our patients. Children are very much welcome here at Sapphire Dental! We see children from as little at 6 months with their first baby tooth, and often it is all about acclimatising them to the dental clinic environment. Children's Appointments Many of our patients ask when their child can have their first check-up at the dentist. The answer is there is in fact no age restriction on taking your child to the dentist. Mostly, when a child's first tooth comes through the gum, usually at the age of 6 months, it's a great time to book their first trip to the dentist. At Sapphire Dental we also have our children's corner where many of our younger patients enjoy colouring, building tower blocks and also knocking on our Tooth Fairy's door! It is important to maintain children's oral hygiene in order to prevent tooth decay, which is the primary reason that children have a general anaesthetic. We recommend parents to help children brush their teeth until at least the age of 7, and certainly until they have developed the dexterity to manoeuvre a toothbrush around their mouth effectively. Children's appointments are never rushed and we work with the parent to create a friendly environment so they can enjoy their visit to the dentist and leave with lots of positive experiences. It is normal to have lots of questions about your teeth and gums, as well as any proposed treatment. We welcome this at Sapphire Dental because we believe it is very important that our patients fully understand what is going on in their mouths and what treatment may involve. We've listed some FAQ's to help with this too. Frequently asked questions What happens at a New Patient Check-Up? At your New Patient Examination your dentist will carry out a full examination of your mouth, gums and teeth which included 2 x-rays. Additionally, an oral mouth cancer screening is carried out at every check-up which is a crucial step in early detection and prevention. Can I still claim on my dental insurance if I am on your membership plan? Joining our membership plan does not effect most insurances, many of our patients receive a statement on request after treatment has been carried out which allows them to forward it on to their insurance provider. (please check with your insurer) What is the best membership plan? Both of our membership plans are very beneficial but every patient is different, your dentist will be able to recommend the plan to suit your dental needs Can I finance my treatment? Finance is available once your treatment plan has been created by your dentist. Its quick and easy please find the link under Fees on our home page I'm a nervous patient and need to visit the dentist, what can I do? We have a lot of experienced dentists who deal with nervous patients everyday. We have lots of ways to put you at ease. Please let us know if you are nervous and we will work with you to ensure you have the best experience with us at possible. Can I see another dentist if my dentist has limited availabilty? It is possible to be seen by another one of our dentists if they have limited availability, we try to keep you with your same dentist for treatment as mostly your dentist creates your treatment plan. On some occasions other dentists may carry out treatment. What happens if your closed and I have a dental emergency? In the event of a dental emergency when our practice is closed, please call 111 immediately. Rest assured, we will make every effort to get you seen by the next available dentist as soon as possible. Our priority is to address your urgent dental needs promptly. However, if you have a preference for your own dentist, please inform us, and we will do our best to accommodate your request. Your comfort and care are our utmost concern, and we strive to provide the best possible service even during emergencies.

The deposit amount is usually at a rate proportionate to the length of the missed appointment. Patients on our membership plans will lose their plan appointment. Emergency Treatment We hope you do not suffer from a dental emergency, but should the need arise please telephone the surgery on 01276 671 953 and we will arrange an appointment as soon as possible to assess the issue.
